What actually happens when a patient calls an AI receptionist

From the first ring to the booking in your calendar: the steps an AI receptionist goes through on a clinic call, and where it hands over to a person.

Doctors considering an AI receptionist usually ask the same thing: what does the patient actually hear, and what happens behind it? Here is a clinic call from the first ring to the booking, as it works on Pluxo.

1. The patient dials your usual number

Nothing changes for the patient. The clinic forwards its existing number, so the patient dials the number on your board and your Google listing. Turn forwarding off and calls ring at your desk again.

2. It answers and says what it is

The first sentence says it is the clinic's AI receptionist and that the call may be recorded. Patients are not misled, and in practice they book anyway, because it picks up. We explain why in should patients know they are talking to an AI.

3. It listens in the patient's language

The patient speaks normally, in whichever of the eleven languages they choose, and can switch mid-call. There is no menu and no "press 1".

4. It works out what the patient needs

Most calls are one of a few things: a booking, a question about timings or fees, a reschedule, or something unusual. When a patient describes a symptom, it maps it to the right doctor at your clinic. It never diagnoses or advises, and anyone describing an emergency is told to hang up and call their local emergency number first.

5. It checks real availability

Each doctor's consulting hours and slot length are set once. It only offers times that actually exist, and it reads your calendar, so anything you blocked is off the table.

6. It sends the slots to WhatsApp while the patient is on the line

Rather than reading out a list of times, it sends the open slots to the patient's WhatsApp during the call. The patient taps one. Nothing is misheard.

7. The booking lands in the calendar

The appointment appears in the doctor's calendar with the reason in the patient's own words, and a confirmation goes to the patient on WhatsApp. A reminder follows before the visit.

8. Anything unusual goes to your team

A request outside consulting hours, a question it cannot answer, a caller who wants a person: your team gets a WhatsApp with the transcript and, where it helps, a Yes or No to tap. The patient is told the team will confirm.
